The Purchasing Coordinator is responsible for overseeing the procurement of goods and services, ensuring that the company's purchasing procedures and standards are followed. This role supports the Purchasing Manager and works closely with vendors, suppliers, and internal departments to ensure timely and cost-effective procurement, managing purchase orders, and maintaining accurate inventory records. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
* Purchase Order Management:
Generate, process, and manage purchase orders in accordance with company procedures. Track and expedite orders to ensure timely delivery.
* Vendor Relations:
Communicate with vendors to negotiate terms, including pricing, delivery schedules, and payment terms. Maintain positive relationships with suppliers to ensure reliable supply chains.
* Inventory Control:
Monitor inventory levels and coordinate with warehouse and operations teams to maintain appropriate stock levels. Initiate orders for restocking based on minimum/maximum inventory levels.
* Cost Analysis:
Analyze pricing and seek cost-saving opportunities by evaluating different suppliers, negotiating contracts, and exploring alternative products or solutions.
* Documentation and Reporting:
Maintain accurate and up-to-date procurement records, including contracts, purchase orders, and supplier agreements. Prepare regular reports on purchasing activities and inventory status.
* Compliance and Standards:
Ensure all purchases comply with company policies and any relevant legal or regulatory standards. Maintain awareness of industry trends and best practices.
* Cross-Department Collaboration:
Work closely with various departments (e.g., finance, production, logistics) to forecast needs, resolve order discrepancies, and ensure smooth operations related to procurement activities.
Qualifications:
* Bachelor's degree in Business, Supply Chain Management, or related field (or equivalent experience)
* 2+ years of experience in a purchasing, procurement, or supply chain role
* Strong communication and negotiation skills
* Proficiency in Microsoft Office Suite, especially Excel, and experience with purchasing software (e.g., SAP, Oracle, or similar systems)
* Excellent attention to detail and problem-solving skills
* Ability to manage multiple tasks and meet deadlines in a fast-paced environment
Preferred Qualifications:
* Experience in a manufacturing, retail, or logistics environment
* Certification in procurement or supply chain (e.g., CPM, CSCP)
