Ultimate Staffing is always seeking talented professionals to help support our clients' hiring needs whether they are contract, contract to hire, or direct hire. Positions can vary from remote, to hybrid, to 100% onsite depending on what the client requires. All candidates must be in the St Louis, MO or St Clair County, IL region to be considered.

The Payroll Manager is responsible for overseeing all aspects of payroll processing, ensuring that employees are paid accurately and on time while complying with legal and regulatory standards. This role involves managing payroll systems, coordinating with various departments, resolving payroll-related issues, and providing leadership to the payroll team. The Payroll Manager will also ensure proper tax and benefit deductions, compliance with wage laws, and accurate reporting for financial audits.

Key Responsibilities:

  • Payroll Processing:
  • Oversee and manage the entire payroll process, ensuring accurate and timely payroll for all employees, including salaried, hourly, and contract staff.
  • Compliance and Regulatory Requirements:
  • Ensure compliance with all federal, state, and local payroll, wage, and hour laws. Keep updated on tax regulations and labor laws affecting payroll procedures.
  • System Management:
  • Maintain payroll systems (e.g., ADP, Workday, SAP) and ensure they are properly configured for all pay groups. Troubleshoot system issues and recommend improvements.
  • Tax and Benefit Administration:
  • Ensure accurate calculation and reporting of payroll taxes, Social Security, Medicare, and other deductions. Manage employee benefit deductions such as health insurance, retirement plans, and other voluntary contributions.
  • Reconciliation and Reporting:
  • Reconcile payroll accounts and ensure accurate reporting for month-end, quarter-end, and year-end close processes. Prepare and submit all required tax filings, including W-2s, 1099s, and other year-end reports.
  • Team Leadership and Development:
  • Lead and mentor the payroll team, providing guidance, training, and support to ensure high standards of performance. Oversee workload distribution and ensure efficient team operations.
  • Problem Resolution:
  • Act as the primary point of contact for payroll-related inquiries and issues. Resolve discrepancies and respond to employee questions about pay, deductions, and tax matters.
  • Collaboration with HR and Finance Departments:
  • Work closely with Human Resources and Finance teams to ensure accurate tracking of employee data, benefits, and compensation changes. Provide payroll-related data and insights for budgeting, auditing, and compliance.
  • Audits and Recordkeeping:
  • Manage internal and external payroll audits. Maintain proper documentation and ensure all records are up-to-date and comply with company and legal retention requirements.
Qualifications:
  • Bachelor's degree in Accounting, Finance, Business Administration, or related field
  • 5+ years of experience in payroll processing, including multi-state payrolls
  • Strong understanding of payroll systems (e.g., ADP, Workday, SAP) and relevant tax and labor regulations
  • Excellent organizational and leadership skills
  • Advanced knowledge of Microsoft Office, particularly Excel
  • Strong problem-solving a
