A busy law firm in Clearwater is looking for an Office Coordinator to join their team. The Office Coordinator is the first contact for all clients and partners, both over the phone & in the office. This position provides administrative support to a team of three paralegals, including duties such as scanning, filing, and scheduling/calendar management. The ideal candidate for this role will be people-oriented, service-minded, build relationships, & provide white-glove service to customers, vendors, and referral partners.

The position will start out temporary, with the opportunity to become a permanent role. It is full time, onsite position - Monday to Friday 8am to 5pm.

RESPONSIBILITIES:

  • Greet all company visitors & guests
  • Answer, screen, and direct calls on a multi-line telephone system
  • Take and relay detailed messages to attorneys & paralegals
  • Schedule client appointments and maintain attorney's calendars
  • Maintain the waiting area, lobby or other public areas
  • Assists in the ordering, receiving, stocking and distribution of office/coffee supplies
  • Scanning, photocopying, faxing and filing documents
  • Receive, process and route mail and packages in a timely manner

QUALIFICATIONS
  • High School Diploma or equivalent
  • Minimum of one year previous professional office, administrative, and clerical experience
  • Excellent communication and organization skills
  • Ability to exercise discretion and confidentiality
  • Experience in Microsoft Office applications, especially MS Outlook
  • Meet deadlines with accuracy and demonstrate a sense of urgency
  • Maintain a positive and courteous attitude with co-workers, clients, visitors and vendors
