Provide general operational support for the copy centers and other facilities services at the client's corporate headquarters facility. Responsible for stocking all copy rooms with supplies, changing toner, addressing paper jams, scheduling service techs when necessary. Use of a computer to print and edit documents sent electronically. Calendar management of two (2) conference rooms to include setups and break downs of the furniture layout per the meeting hosts' requests.
Job Description
Essential Functions:
- Copy Center Management - assure copy centers are fully stocked with paper/supplies.
- Utilize copy center equipment (copier, binding machines, laminating) to provide high quality documents for print jobs.
- Troubleshoot problems as they arise. Contact vendor to schedule repairs when necessary.
- Inventory/Order/Stock all office supplies to include toner and paper.
- Monitor conference room reservations daily. Proactively contact meeting hosts to obtain layout preference. Complete all set-ups ONE day ahead.
- Assist with issuing of security badges and updating information in security system as needed.
- Assist with delivery/pick up of mail to office mail rooms and additional office space located across the street.
- Assist with shipping & receiving, and delivery of packages throughout the building.
Other Responsibilities:
- Serve as backup to Loading Dock (Shipping & Receiving), Mailroom, and Reception desk.
- Assist co-workers in the Facilities Management organization as needed.
Run errands as required (pick up/drop off mail at 2nd office location across the street, post office, service station etc.)
SKILLS AND TRAINING :
Responsible for copy center management, print jobs, operational support of multi-functional devices (MFD's), conference rooms layouts, inventory and ordering offices supplies, support mail room and loading dock (shipping &receiving). Must have excellent written and verbal communication skills, proficient with Microsoft Outlook calendar management, be able to function independently, be detail oriented, flexible, and well organized; can work in a fast-paced environment with minimal supervision, possess professional demeanor, and can establish and maintain effective working relationships with co-workers, management, staff, vendors, and suppliers.
EDUCATION AND EXPERIENCE :
- 2 years of office experience
- High school diploma or GED
- Knowledge of copy machine operations and workflow
- Ability to operate copy center equipment; copiers, laminating, binding, shredding etc.
- Maintain, troubleshoot, and report maintenance issues to vendors and suppliers.
- Knowledge of and experience with Microsoft Office software programs, especially Outlook and Calendar management
- Excellent communication skills
- Valid PA driver's license and reliable transportation required.
- Punctuality and reliability are essential

- Ability to sit or stand for extensive lengths of time.
- Ability to utilize computer for extensive lengths of time.
- Ability to utilize the telephone and Microsoft Teams
- Ability to lift to 55 pounds and set-up/breakdown conference room furniture
