Job Description Summary
Under the supervision of the Grants Manager, the Grants Coordinator A will assist with the preparation, review and submission of sponsored program programs through the internal review process for submission to the sponsor, assuring compliance with the department, school and university guidelines. Activities include, but not limited to preparing pre-award budget/justifications, provide guidance on policies and procedures related to sponsored programs and resolution of related issues with the investigators. The individual will also act as a liaison between the faculty, administrative staff and various internal and external contacts. Prepare reports for review by the Grants Manager to apprise investigators on their funding status. Will monitor grant expenditures for allowability with funding policies.

Job Description

Under limited supervision the Grant Coordinator in the Department of Dermatology will provide research and financial administrative support for the Department of Dermatology. This role will be responsible for the preparation, review, and submission of sponsored program proposals to foundations, federal, and industry sponsors. This individual will also be responsible for maintaining grant and financial databases within the department. Post award duties include financial monitoring, maintaining faculty Other Support, and reporting for sponsored programs, meeting regularly with investigators for expense reporting, and processing reports and transactions throughout close out. This position reports to the Manager of Administration and Finance and has a dotted reporting line to PSOM Office of Research Support Services.

- Coordination of grant and clinical study processes

- Proposal Development and Renewal

- Maintain grant and financial databases

- Grant Reconciliation and Audit Back-up

- Perform additional duties as assigned

Duties

Responsible for providing pre-award and post-award support for sponsored research within the Department of Dermatology as follows; assist with the preparation of new and non-competing sponsored project budgets, prepare and submit entire proposals through Penn systems, monitor expenditures for compliance, perform account reconciliations and analysis, perform account closeouts, payroll entry, reviewing effort reports, journal entry, assist research faculty and staff in Penn systems, monitor and invoice clinical study activity, produce monthly and ad-hoc financial/grant reports. Other duties as assigned.

Qualifications
Associate's Degree or Two Year College with 2-3 years of related experience or equivalent combination of education and experience is required.
Grant and contract administration and/or accounting preferred with knowledge of and demonstrated competency with compliance issues related to the management of both federal and non-federal sponsored research. Strong proficiency in Microsoft Office and experience in University financial systems is preferred. Candidate must possess excellent interpersonal and communication skills to work independently as well as part of a team with faculty and staff under strict deadlines while demonstrating attention to detail.
