SUMMARY

The Associate Consultant supports the Department of Homeland Security (DHS), US Customs and Border Protection (CBP) by providing the CBP with a full range of office and administrative support, coordinating travel logistics, maintaining calendars, scheduling meetings/appointments, and preparing briefing materials, reports, and other documentation.

ESSENTIAL REQUIREMENTS

Must meet one of the two requirements:

  • Have an active Security Clearance (DHS/CBP clearance preferable), or
  • Have had a Security Clearance in the past (preferably within the last 2 years).

Must be able to pass a CBP background investigation.

KEY DUTIES AND RESPONSIBILITIES
Essential Duties and responsibilities include the following. Other duties may be assigned.

Performs a full range of office and administrative support duties including managing calendar appointments for senior Program Management Office (PMO) leaders; scheduling meetings, interviews, and conferences; evaluating requests for information, appointments, tasks, and other correspondence and coordinating responses within established deadlines.

Prepares memoranda, talking points, briefing materials, reports, spreadsheets, and other documentation ensuring correct formatting, grammar, and punctuation, maintaining filing systems and ensuring adherence to Agency guidance for the retention, protection, retrieval, transfer, and disposal of records.

Maintains office supplies and equipment inventories; evaluating and assisting in the development of office policies and procedures; assisting in the planning and implementing of office systems, layouts, and equipment distribution; and performing other duties as assigned in support of various administrative operations and activities (i.e., special projects, research studies, budget analysis, and other specialized functions).

Coordinates travel logistics for PMO Directors, including securing transportation and overnight accommodations in both domestic, and overseas locations; coordinating and communicating travel agendas, including the assembly of printed material developed to assist with the individual's and/or teams' objectives as it relates to that travel; and helping to resolve problems related to last minute travel changes or cancellations.

Schedules and coordinates high-level meetings and PMO events (i.e., Program Management Reviews (PMRs), Town Halls, Team Director's Meetings, Leadership Team Meetings, Business Partner Meetings, etc.) including scheduling calendar invites; arranging for meeting space; coordinating conference technology; assisting with researching and preparing agendas, talking points, briefing materials, and presentations as needed; and preparing and distributing meeting minutes and action items. When necessary, participating in special conferences and meetings.

Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize personal output.

Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

EDUCATION AND EXPERIENCE

Bachelor's degree and a minimum of 3 years relevant experience, or equivalent combination of education/experience.

Three (3) years of similar experience working with a federal agency required.

Excellent customer relationship management skills and ability to work with diverse groups.

Proficient in the full suite of Microsoft Office and Microsoft Project.

Effective communicator (oral and written).

Well-developed time management and schedule coordination skills.

Work is primarily performed in an office environment. Regularly required to sit. Regularly required use hands to finger, handle, or feel, reach with hands and arms to handle objects and operate tools, computer, and/or controls. Required to speak and hear. Occasionally required to stand, walk and stoop, kneel, crouch, or crawl. Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus. Exposed to general office noise with computers printers and light traffic.
