Dana-Farber Brigham Cancer Center (DFBCC) is a collaboration between BWH and Dana-Farber Cancer Institute (DFCI) to provide the best possible care to adults with cancer or certain blood diseases.

Inpatient medical oncology services for BWH and DFCI are provided within the BWH physical facility based at 75 Francis Street, Boston, MA. Here, BWH maintains ~170 beds and DFCI maintains ~30 beds across two independently licensed units. This accounts for roughly half of the DOM inpatient beds and 25% of BWH's total beds. Collectively, the inpatient medical oncology service cares for ~7,500 patient admissions each year. There are 16 different inpatient teams within the oncology service and each team is specialized to care for different patient populations. The service is staffed by a range of physician assistant (PA) and resident teams. There are 90 PAs and 60 residents working across the service each year as the responding clinicians. There are about 210 DFCI attendings providing daytime coverage on the oncology service each year and about 54 BWH attendings providing overnight coverage. . The administrative elements of the service are managed by the BWH Department of Medicine, working in close collaboration with BWH and DFCI leadership.

The DOM Nocturnist Service provides overnight coverage for all APP teams across BWH, DFCI (30 bed hospital), and BWFH (Faulkner). The nocturnist service is comprised of 54 attendings who cover 32 teams across multiple services. They are responsible for caring for BWH DOM patients on the oncology teams, general medicine teams, cardiology inpatient and procedural teams, renal and pulmonary transplant teams, interventional radiology team, and BWFH DOM patients on the general medicine and addiction teams.

The Administrator, Inpatient Medical Oncology (Administrator) has direct responsibility for supervising, organizing, and facilitating the daily operations and financial performance of the BWH and DFCI inpatient medical oncology services. This role also partners with the Nocturnist Medical Director to support daily operations, key metrics, operational improvement work, and other work as requested. This position requires an individual who can work independently and creatively, and who skillfully can navigate complex, matrixed organizations. The Administrator reports directly to the DOM Senior Director of Clinical Operations and indirectly to the Executive Director of the Brigham Cancer Center. He/she will also provide support and information to the various Oncology stakeholders within the inpatient service at both BWH and DFCI. The Administrator will manage the Oncology Project Analyst within DOM.

PRINCIPAL DUTIES AND RESPONSIBILITIES

General

  • The Administrator has direct responsibility for supervising, organizing, and facilitating the daily operations of the inpatient medical oncology services.
  • Reviews the ongoing management of the clinical operations areas of responsibility, discusses and resolves any administrative problems that arise.
  • Ensures BWH credentialing (physician and PA) for the service is complete and maintained with a high level of efficiency.
  • Supports the development of clinical programs and initiatives, and ensures that the team members are working in an integrated manner and that the group is following the guidance of BWH, DFCI, and/or DOM leadership.
  • Jointly collaborates and supports the strategies and goals of BWH, DFCI, and BWFH for inpatient services. Works closely with the other DOM inpatient services, Cardiology and General Medicine, to ensure similar practices and operations where appropriate.
  • Prepares reports and analyses for the Oncology Medical Director, Nocturnist Medical Director, the Senior Director of Clinical Operations, the Vice President of Inpatient Services at BWH, the Vice President of Inpatient Oncology at DFCI, oncology nursing leadership, quality and operational leaders within oncology, and others as needed.
  • Engages with clinical leaders to support development and proactive management of coverage models.
  • In concert with quality and compliance leadership at both BWH and DFCI, provides administrative oversight of inpatient quality and regulatory activities, including harmonization of metrics and polices across the oncology service line, coordination of reports and presentations to quality committees, and supporting preparedness for regulatory site visits.
  • Collaborates with the Senior Director of Clinical Operations' team (director, program manager, analysts, coordinators, etc.) on various projects, data requests, new initiatives, and strategic plan implementation.
• Works with the oncology inpatient team and DFCI ambulatory leaders/teams to implement initiatives that support patients' transitions from inpatient to outpatient or vice versa (e.g., direct scheduling, patient navigation, etc.). Works with the 14 different DFCI disease centers (i.e. BMT, GI, Head and Neck, Melanoma, etc.) to ensures that the teams understand the impacts of integration with the inpatient service.

• Works closely with the DFCI PA leadership team (PA Medical Director, Chief PAs, and PA Program Director) regarding all aspects of the PA program to ensure both BWH and DFCI understand any changes, program development, compensation planning, retention planning, and strategic program growth.

• Leads or participates in special projects and performs all required tasks, analysis, research, etc. to progress the project and bring it to completion or implementation.
  • Develops, implements, and monitors compliance with policies and procedures mandated by institutional and regulatory entities (e.g., The Joint Commission, Department of Public Health, etc).
• Supports or participates in projects across the DOM to gain perspective and insight into how other services operate.

Financial Management

• The Administrator is responsible for the fiscal management (i.e., cost center management) of all areas of responsibility. He/she assists with achieving financial goals and measures set by the Senior Director of Clinical Operations, the Medical Directors, and the Vice Presidents at BWH and DFCI, monitors financial performance, and ensures the ongoing financial performance of clinical operations of all areas of responsibility.

• Provides financial modeling, including break-even program analysis and the ongoing evaluation of existing programs; develops and maintains operational and financial reporting tools for monitoring service activities.

• In partnership with Senior Director of Clinical Operations, prepares analysis and forecasting for expansion of services, as needed.

• Understands and meets all financial reporting requirements in the prescribed format, per the direction of the Senior Director of Clinical Operations and the BWH budget office.

Human Resources Management
  • The administrator recruits, develops, retains, and provides managerial and administrative oversight of all staff within the clinical operations areas of responsibility. Currently there is one project analyst who reports to the Administrator, and that analyst spends the majority of their time on oncology-related work.
  • Creates a working environment that supports the ongoing professional growth and development of all staff, high morale, and optimal job satisfaction.
  • Serves as the primary resource for all administrative issues concerning human resources policy issues for staff in the clinical operations areas of responsibility.
  • Facilitates resolution of conflicts and issues that emerge between key clinical and administrative stakeholder groups.
  • Provides leadership in the implementation of regular staff meetings, in-service training, and continuing education activities for all areas of responsibility.
  • Partners with Human Resources to ensure employment relationships, personnel compensation, and benefits are implemented in a manner consistent with hospital policies and procedures.
  • Handles numerous personnel matters, including reviewing and approving all hiring and evaluation decisions for the clinical operations areas of responsibility.
  • Helps to think through compensation decisions and how a change at one institution could impact the other in terms of hiring and retention.
  • Implements all institutional policies related to all phases of personnel activity, including recruitment, interviewing, compensation, benefits, orientation, performance evaluations, promotions, transfers, and terminations.
  • Transmits and interprets institutional policies to employees.
  • Ensures appropriate training of employees.
  • Assesses employee workload and recommends changes as needed. Monitors hiring trends to ensure market competitiveness.

Other Administrative Responsibilities

• Serves on department or hospital-wide committees and facilitates meetings as assigned.

• Organizes and facilitates agenda of internal leadership and administrative meetings.

• Manages other clinical and non-clinical areas of the oncology service line as assigned by the Vice Presidents of the service line.

• Leads or participates in special projects as requested by the Senior Director of Clinical Operations and/or the Vice Presidents of the oncology service line.

• Consistently meets all deadlines for deliverables or activities.

• Ensures BWH credentialing (physician and PA) for the service is complete and maintained with a high level of efficiency.

• Performs other duties as assigned and/or required.

OTHER DUTIES AND RESPONSIBILITIES

  • Works within legal, regulatory, accreditation, and ethical practice standards relevant to the position and as established by Brigham, DFCI, and MGB.
  • Follows safe practices required for the position.
  • Complies with appropriate Brigham, DFCI, and MGB policies and procedures.
  • Fulfills any training required by Brigham, DFCI, and/or MGB, as appropriate.
  • Brings potential matters of non-compliance to the attention of the supervisor or other appropriate hospital staff.

QUALIFICATIONS

  • 5-7 years of administrative experience in healthcare required, preferably in an academic medical center environment, with increasing responsibility.
  • 3-5 years of direct supervisory experience of a multiple-employee team required.
  • Oncology experience preferred.
• Demonstrated experience in operations, project management, and reporting.
  • Bachelor's degree required, master's degree preferred, or greater than 10 years of health care administration experience considered.

SKILLS/ ABILITIES/ COMPETENCIES REQUIRED

  • Outstanding interpersonal skills and ability to handle sensitive human resources issues, especially including conflict resolution among and between administrative/clinical leaders, clinical faculty, and other staff members.
  • Outstanding organizational skills necessary to manage many competing timetables and responsibilities.
  • Ability to delegate and effectively supervise and plan for the timely and successful completion of short- and long-term objectives.
  • Excellent verbal and written communication skills to effectively communicate and collaborate.
  • High degree of analytic ability to manage the financial and human resources aspects of the position.
  • Ability to work independently and accurately and concisely disseminate information in both written and verbal formats.
• Ability to create business and clinical analyses, profit and loss statements, operational reviews, and identification of system weaknesses.
  • Ability to effectively relate to a large and diverse constituency of individuals, including senior leaders, hospital administrative staff, faculty at all levels, trainees and staff, representatives of other Brigham and DFCI offices, potential donors, representatives, and vendors.

WORKING CONDITIONS

  • This is a hybrid role with 2-3 days/week in the office. Works in an office setting when in the office.
  • Attends meetings in and out of the hospital.
  • Is available for early and late meetings and flexible to meet frequent deadlines.
  • Some evening and weekend work may be required.
  • No direct patient care.
  • No lifting/carrying required.

SUPERVISORY RESPONSIBILITY

One Project Analyst

FISCAL RESPONSIBILITY

  • Responsible for the budget performance of the inpatient oncology service and its related services, amounting to an annual budget of >$18MM.
  • Responsible for the solvency of all accounts under his/her purview.
